Terms and Conditions of Entry Regatta London 2019

The deadline for all participants to be added and registrations to be completed on the console is 5pm, Friday 6 September 2019.


“Boat” means an eight crewed rowing boat, individual or two-person or four-person kayak, individual or two-person canoe and single, tandem or team stand up paddle board.

“Data Protection Laws” means the Data Protection Act 2018, the Privacy and Electronic Communications Regulations (2011) (as amended), the Investigatory Powers Act 2016, EU General Data Protection Regulation (EU)2016/679, and any other successor legislation.

“Event” means Regatta London to be held on 29th September 2019.

“Event Organisers” means Regatta London Ltd and Limelight Sports Limited.

“Fee” means the price of entry payable prior to participation in the Event (paid either directly or by a third party, being a charity or club).

“Online Registration Form” means the pages within the Website which must be completed prior to participation in the Event and completed before the registration deadline of 5pm on Friday 6 September 2019.

“Online Confirmation” means confirmation of acceptance (sent via email from the Event Organisers to the Participant) to participate in the Event.

“Participant” or “you” means the named person on the official entry form. 

“Personal Data” means the participant’s name, delivery address, email address, phone number, race number, gender, medical conditions, emergency contact information, age, rowing and (where relevant) coxswain, kayaking and/or paddling experience, rowing and (where relevant) coxswain, kayaking and/or paddling frequency, training and race experience and event preparation, seeding category, personal story (if provided), registration status, activation link, and club, company or charity name (if applicable).

“Parties” means the Event Organisers and the Participant.

“Regatta London” means Regatta London Limited, a private limited company, registration number 11790456, with its registered address at 122 Feering Hill, Feering, Colchester, Essex, CO5 9PY

“Limelight Sports” means Limelight Sports Ltd, Company number 03700632, C/O Fourth & Fifth Floor, 14-15 Lower Grosvenor Place, London SW1W 0EX

“Terms and Conditions” means the participant terms and conditions, relating to the Event, as set out below.

“Website” means www.Regatta.London


2.1 These Terms and Conditions relate to Regatta London which is a mass participation paddle sport event which includes rowing, kayak canoe or stand up paddle boarding (“the Event”). Held on the River Thames on Sunday 29 September 2019, participants will paddle either 12 or 14 miles depending on their chosen discipline. The Event shall start at either Hammersmith or Putney and finish at Greenwich, or for the Big Ben event only, finish at Putney after turning near Westminster Bridge.

2.2 The Fee shall be paid to the Event Organisers, through one of the payment methods set out on the Online Registration Form, unless you register through a third party (a charity or Club) in which case you will pay the Fee to such third party.

2.3 Only persons aged 16 years or above on race day of 29 September 2019 may register for the Event.

2.4 Each Participant must register using the Online Registration Form, accessed using the individual Participant’s log-in details, as provided by the Event Organiser to you or via your charity or club, only after that has the Participant secured a place in the Event.  

2.5 The relevant date for registrations shall be the date the Participant receives the Online Confirmation (“Registration Date”).

2.5.1 Each Participant must complete their registration in full including full payment of the Fee by 5pm on Friday 6 September 2019 or they will forfeit their place in the Event. No transferring of places is permitted after this date.

2.5.2 Following the successful completion of the registration process by the Participant and clearance of the Fee, the Participant shall receive an email confirming their registration from Regatta London. If no email confirmation is received, please contact info@regatta.london to confirm the registration. Please note that confirmation via a charity will also be received from info@regatta.london

2.6 Participants or crews shall receive an official numbered race bib or similar, and a self-adhesive race number (boat identification tag) in their race pack which participants will need to collect the day before the event, or on the morning of the event – this will be determined by the challenge you enter, and instructions will be communicated to you at least 30 days before the event.

2.6.1 For rowing, only the cox will wear the race bib or similar, and the race number (boat identification tag) shall be placed with the cox at all times.

2.6.2 For multi person Kayak Canoeing and Paddle Boarding, each participant shall receive an official race bib or similar, and only one boat identification tag, which is to be placed on top of the deck in a suitable visible place.

2.6.3 For single person Kayak Canoeing and Paddle Boarding, each participant shall receive an official race bib or similar and boat identification tag to be placed on each side of the boat, or on top of the deck or board in a suitable visible place.

2.7 The numbered race bib and boat identification tag is personal to the Participant or crew accepting the Terms and Conditions and the Participant undertakes and agrees (i) to wearing the official numbered race bib assigned to his/her registration; (ii) placing the boat identification tag on the registered boat assigned to his/her registration, and (ii) not to authorize or permit any third party to use their official numbered race bib nor transfer race numbers to another crew for the Event.

2.8 Each vessel will be given a timing device as part of their race pack with instructions as to how this works.

2.9 The Participant must register and leave their boat at the specified secure location near the designated start location and time provided in the Event Information, which the Event Organisers will issue no later than 30 days before the Event. This could be the night before or the morning of the event.

2.10 The Event is a boating event and as such only the categories of boat described in the Registration form will be permitted on the course.

3.1 The Participant shall not benefit from any right to cancel pursuant to any consumer rights legislation.

3.2 No refunds shall be provided:

(a) to any Participant at any time.

(b) for any donations that are made during the registration process.

3.3 No race places for the Event can be deferred to a subsequent year.


4.1 The Event is a fourteen-mile river event for rowing and a twelve-mile river event for kayak, canoe or stand up paddle boarding to be held on the River Thames on Sunday 29 September 2019. The Event shall start near Hammersmith and/or Putney and finish at Greenwich, or for the Big Ben event only, finish at Putney after turning near Westminster Bridge.

4.2 The Event Organisers reserve the right to change the time, date and/or venue and format of the Event and to cancel the Event, in whole or in part, without notice or liability to the Participant.

4.3 The Event Organisers reserve the right to refuse entry to the Event (or to disqualify from the Event) of any registered Participant not wearing their assigned official numbered race bib and/or for not placing the boat identification tag on the registered boat or in the wrong place.

4.4 The Participant agrees to abide by the rules, instructions and regulations published and displayed from time to time by the Event Organisers or given on the day of the Event by race marshals, officials and police. Participants must comply with the non-littering policy of the Event at all times. It is highlighted that the use of single use plastics can result in time penalties being given. 

4.5 The Participant is responsible for providing river-worthy boats and equipment which complies with your governing body’s safety requirements (British Rowing, British Canoeing) or the boat manufacturer’s safety requirements for safe use and be in good condition. Boats may be declined if they do not meet safety and condition requirements. Please refer to Appendix 1. 

4.6 Spares for boats and related equipment may not be available on site and it is the responsibility of the Participant to check that their boat and equipment is in appropriate condition (or to bring sufficient spare supplies) for the Event day and complies with safety and condition requirements described in clause 4.6 above. Boats must be checked in the boat park, before the boat departs for the boating area, this could be done the night before if available. Any boats that are deemed non-compliant will be refused entry. If the Participant’s boat and equipment are not re-presented in a satisfactory standard before the Participant’s start time, the Participant will not be allowed to participate, and their entry is void.

4.7 Access and parking. This is specific to each sport and event. You will receive detailed information about access and parking no less than 30 days before the event if an overnight stay is not required. If an overnight stay is required information will be given earlier. It is advised that parking is very restricted being a London event, so where possible it is encouraged to use public transport or use a support team who can move your vehicle.

4.8 Participants must bring their own supplies of drinks and food for the event, noting the event requirements to not litter and avoid use of single use plastic. There will be provisions for re-filling water bottles at the start and finish.

4.9 Race times at the Event can only be recorded by a digital timing solution. Each vessel will receive a timing device and instructions in their race pack. 

4.10 The Event Organisers may introduce cut off times as they see fit, being limits on the time taken to complete sections of the event to ensure the safe and proper running of the event. Participants not meeting the cut off times may be asked to land before the finish, or in the case of the Big Ben, asked to turn at a point earlier than the official turn point. 

4.11 Participants understand that the London Crossing and Big Ben are challenge events covering either 12 or 14 miles in distance. It is important that all participants ensure that they have the relevant experience, knowledge and skill to be safe during the race/event. If at any time the organisers are concerned about the competence of a participant(s) to be safe on the river, the event Health and Safety Lead will take action and may instruct the participant(s) to leave the water at the nearest safe place or prevent the participant(s) from taking part in the race. No refund will be provided.

4.12 Protests and disqualifications. Notification of disqualification will only be made to the Team Leader or his nominated deputy. Any protest or appeal can only be made by a Team Leader. Participants/crews may either be required to pull up into a ‘Sin Bin’ if a rule violation has been committed and identified by a race marshal, this will be notified during the Event. Failure to stop will result in a higher penalty at the finish. Or, they may receive a time penalty to be added to their finish time upon completion of the event.

4.13 No drugs, illegal substances, performance enhancing substances or intoxicants of any kind are permitted to be brought to the Event or used by any Participant either before or during participation in the Event. The Event Organisers reserve the right to refuse attendance at, or participation in, the Event by any persons found to have consumed or to have in their possession any drugs, illegal substances, performance enhancing substances or intoxicants of any kind. Alcohol cannot be consumed before or during the event.

4.14 The Event Organisers reserve the exclusive right and license throughout the world (and, the Participant hereby grants the Event Organisers such exclusive right and license) to interview and/or photograph and/or film Participants at the Event (or subsequent to the Event as the Event Organisers may reasonably require) and to the unlimited use in all current and future media (including without limitation, print, audio, audio visual, virtual media, the Internet, mobile telephony and so-called “3-G” technologies, CD-ROM or DVDs) of the Participant’s name, likeness and image or facsimile image, signature, voice, video and film portrayals and other means of identification of Participant, and any biographical or other information or data related to Participant (including race times and results), in connection with the production, advertisement, marketing or promotion of Regatta London, the Event and any subsequent Regatta London events.


5.1 The Participant agrees to be bound by these Terms and Conditions. If the Participant does not agree to these Terms and Conditions, they may not enter the Event. The Event Organisers reserve the right to change the Terms and Conditions from time to time without notice prior to the Event. The Participant therefore agrees to be bound by any such modification to the Terms and Conditions.

5.2 The Participant acknowledges that participation in and training for the Event involves potentially dangerous physical activity and carries with it inherent risks and dangers which cannot be eliminated completely, which, without prejudice to the generality of this clause 5.2, may include accidents, personal injury (ranging from minor discomfort to catastrophic injuries and death) and loss or damage to property due to falls, obstacles, contact with other participants, the acts and/or omissions of other participants, the effects of weather, water traffic conditions and the conditions of the river. By completing and submitting the Online Registration Form, the Participant confirms that, to the best of their knowledge, they are healthy and fit to row (and cox, where relevant), paddle and/or kayak (as the case may be) and can swim 50m in sport clothing without a lifejacket, they understand and have considered and evaluated the nature, scope and extent of the risks involved (including, without limitation, those risks listed above), and have voluntarily and freely chosen to assume all risks associated with participating in the Event (except where any such personal and bodily injury, including death, is caused by the negligence of the Event Organisers or any of their employees). The Participant further understands that the Event Organisers reserve the right to refuse the Participant’s attendance at, and/or participation in, the Event.

5.3 All Participants must conform to their sports water safety measures regarding buoyancy aids, PFD’s, water tight compartments in boats and waist leashes for stand-up paddle boards when on the water. A full list of mandatory kit will be shared with participants via the event website and in participant communications at least 1 month prior to the Event.

5.3.1 for rowing, all coxswains must wear a PFD. Pre-race boat checks will include bow ball fixings; hatches, seals and canvas in place and secure; functional steering; Heel restraints – not correctly adjusted or effective

5.3.2 for kayak/canoeing, all participants must wear a PFD. No passengers or pets are permitted

5.3.3 for stand-up paddle boarding: for the London Crossing - all boards must be fitted with either a waist or knee leash and all participants must wear a waist PFD. For the Big Ben, all boards must be fitted with a waist leash and participants must wear a full PFD. 

5.4 The Participant must dress appropriately when boating considering the weather conditions on the day of the Event and carry with them appropriate footwear to ingress and egress from the shale or muddy foreshore. In addition, each Participant must have, regardless of the weather condition:

5.4.1 for rowing, a wind proof and water proof torso layer, a spare dry torso layer kept in a water proof bag, and a warm hat.

5.4.2 for Kayak Canoeing, as per rowing. Also strongly recommend layers including lightweight neoprene, thermals and long johns. Appropriate footwear must be worn at all times whilst participating.

5.4.3 For Paddle Boarding, as per rowing. Also strongly recommend layers including lightweight neoprene, thermals and long johns. Appropriate footwear must be worn at all times whilst participating.

5.5 All Coxswains - All crews must be experienced rowers under the command of an experienced cox. All coxes shall be suitably endorsed by their clubs to be experienced and competent at handling a boat and commanding a crew on the river. 

5.6 All vessels must provide their own hydration and snacks during the event. Water points for filling participant bottles will be provided at the start and the finish, with food concessions provided at the finish.

5.7 All participants must attend a pre-event briefing before getting in the water. This is compulsory and failure to attend could result in teams not being allowed to take part.

5.8 The participant will follow the race rules at all times. Keeping to scheduled times to boat and marshal within the start pen, follow marshal instructions at all time, act appropriately and compassionately with event staff and other competitors, following the event route (using the correct bridge arches, staying out of restricted zones), egress under instruction and follow land based marshals to boat park. Any deviation off the designated route may lead to disqualification.

5.9 The Event Organisers do not provide any insurance, whether life or medical or liability, for any illness, accident, injury, death, loss or damage that may arise in connection with the attendance at, and/or participation in the Event by each Participant.

5.10 The Event Organisers shall take all reasonable steps to assess the safety and suitability of the Event locations prior to the Event. The Event Organisers shall also arrange for the availability of an appropriate number of first aid and medical personnel according to the nature of the Event. The Participant hereby authorizes such medical personnel (both on-site or on-call) to administer first aid treatment or any medical treatment to the Participant or to transport the Participant in the event of any illness, accident or injury suffered by the Participant in connection with his/her participation in the Event, but shall not be liable for such treatment or transportation by such third party. The Participant shall be responsible for any medical or transport expenses specifically incurred in connection with any illness, accident or injury sustained or occurring in connection with participation in and/or attendance at the Event.

5.11 The Participant acknowledges and agrees that the Participant shall indemnify and hold harmless the Event Organisers from and against all liabilities, claims, actions, proceedings, loss, damage, costs or expenses suffered or incurred by the Event Organisers (including legal and professional fees and those paid to the Participant’s insurers) arising in connection with any act or omission of the Participant or any accident, loss, damage or injury (including death) arising out of the Participant’s attendance at, participation in, or training for the Event.

5.12 Nothing in the Terms and Conditions shall affect any statutory rights to which the Participant may be entitled.


6.1 Subject to clause 6.4, the Event Organisers shall not be liable for any of the following:

6.1.1 technical, hardware or software failures of any kind, lost or unavailable network connections, or failed, incomplete, garbled or delayed computer/Internet transmissions or other errors or malfunctions of any kind which may prevent receipt by the Event Organisers of an Online Registration Form;

6.1.2 any delay or failure to successfully register for the Event due to any delay involved with, or an inability to, obtain authorisation for payment of the Fee from the Participant’s bank;

6.1.3 damage to, or loss of, the official numbered race bib or similar, boat identification tag and the digital timing device, and shall not be responsible in any way for any failure of the technology of their numbered race bib or similar, boat identification tag and timing device on the day of the Event; or

6.1.4 any losses the Participant suffers as a result of the Event Organisers’ breach of these Terms and Conditions unless such losses were reasonably foreseeable to both the Participant and the Event Organisers as at the Registration Date. For the avoidance of doubt, the Event Organiser will not be liable to the Participant in contract, tort (including, without limitation, negligence) or otherwise in connection with the Event for loss of revenues, profits, contracts, business or anticipated savings or loss of data); goodwill or reputation; any special or indirect or consequential losses; for any personal injury to or death of the Participant.

6.2 If at any time it is discovered that any Participant should have been ineligible to participate in the Event (or if participation in the Event should have been refused for any reason whatsoever) the Event Organisers reserve the right to disqualify from/refuse entry to such Participant to the Event. Further, the Event Organisers reserve the right to reject at any time any Online Registration Form which is believed to be fraudulent, or to disqualify any Participant believed to have not complied with the Terms and Conditions from attending or participating in any future Regatta events. The Event Organisers shall not be liable in any way to the Participant as a result of any such disqualification or refusal.

6.3 Subject to clause 6.4, the Event Organiser’s liability to the Participant shall in any event be limited to the refund of the Fee.

6.4 Nothing in the Terms and Conditions shall affect the Event Organiser’s liability:

6.4.1 for death or personal injury resulting from the negligence of the Event Organisers or a deliberate act or omission of the Event Organisers, its employees or agents;

6.4.2 for fraudulent misrepresentation; or

6.4.3 to the extent that liability cannot be excluded or limited by law.


7.1 Our privacy policy sets out how the Personal Data which the Event Organisers collect about a Participant may be used.


8.1 If any provision in the Terms and Conditions, whether in full or in part, is held to be invalid or unenforceable, all other remaining provisions (in full or in part) shall continue to be valid and enforceable.

8.2 These Terms and Conditions shall be subject to the law of England and Wales and the Parties agree to submit to the exclusive jurisdiction of the Courts of England and Wales.

8.3 A person who is not a party to the Terms and Conditions has no rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of the Terms and Conditions.

8.4 The Participant may not assign transfer or deal in any other manner with these Terms and Conditions or any of its rights under it without the prior written consent of the Event Organisers.

8.5 These Terms and Conditions and the documents referred to herein constitute the entire agreement and understanding between the Parties and supersedes any previous agreement between the Parties relating to the subject matter herein. No other term or condition submitted, proposed or stipulated will apply to these Terms and Conditions. The Participant acknowledges that it has not, in entering into these Terms and Conditions, relied on any statement, representation or assurance that is not expressly set out in these Terms and Conditions or any document referred to herein.

8.6 The failure, delay, relaxation or indulgence on the part of any party in exercising any power or right given to the parties under these Terms and Conditions shall not operate as a waiver of that power or right, nor does any single exercise of a power or right preclude any other or further exercise of it or the exercise of any other right or power under these Terms and Conditions. A right or a power may only be waived in writing signed by the party to be bound by the waiver.

8.7 Nothing in these Terms and Conditions is intended to nor shall it create any partnership, joint venture or relationship of employment between the Event Organisers and the Participant.

8.8 If any provision of these Terms and Conditions is invalid or unenforceable in any jurisdiction it will, if required, be deleted (for the purposes of that jurisdiction) without affecting the remaining provisions of these Terms and Conditions or affecting the validity or enforceability of that provision in any other jurisdiction provided that such deletion does not defeat the purpose of these Terms and Conditions.

Appendix 1


1. The only craft allowed will be an 8 oared boat with one seat for the coxswain positioned at the stern of the boat. No bow loaded coxswains will be allowed, unless RLL notify otherwise.

2. The boat shall be presented in good working order, water tight, all bolts secured tight with riggers in place and joined as one boat (not sectioned) with the eight oars that will be used for the event

3. All hatch covers are in good working order, robust, secure to the boat and able to keep water out of the compartment it gives access to.

4. Each rowers foot plate must have working heal restraints with a 10cm restraint and adequate strap release mechanism.

Kayak Canoeing

1. The craft available to the event are: K1, K2, K4, C2, race kayak, sea kayak, surf ski, open canoe (tandem only), sit on tops, touring kayak, inflatable kayak. 

2. The boat shall be presented in good working order with paddles, and buoyancy aids/ PFD’s that will be used for the event.

3. Passengers and pets are not permitted

Paddle Boarding

1. All single person boards will be allowed to enter (with a minimum length of 11ft), as well as tandems and team boards

2. The boards shall be presented in good working order with Paddle and buoyancy aids or PFD’s that will be used for the event.

3. Mandatory quick release waist leashes must be used on all boards. Ankle leashes will not be permitted.

4. For inflatable boards the board must be inflated at least 1 hour before boating and demonstrate that it can hold pressure without deflating in that time.
